EXTRA.TXT Release Notes for Tools and Files in the \EXTRA Directory on the SmartSuite CD-ROM This document describes tools and files on the SmartSuite for OS/2 Warp 4 CD-ROM in the \EXTRA directory. These tools and files are provided as a convenience for users but are not supported by Lotus. For best viewing, Lotus recommends that you select a non-proportional font for your OS/2 Editor, such as Courier, Courier New, or System VIO. ======== CONTENTS ======== 1. THE 1-2-3 & FREELANCE GRAPHICS FILE TRANSLATOR ================================================= The 1-2-3 & Freelance Graphics File Translator converts macros from 1-2-3 Release 2.x for OS/2 (.WG2) files to .WK4 format. 1-2-3 for OS/2 Warp 4 will then be able to read the macros in the .WK4 files. You can also use the 1-2-3 & Freelance Graphics File Translator to share a Freelance Graphics for OS/2 Warp 4 (.PRZ) file with someone using Freelance Graphics 2.1 for OS/2 (.PRS file format). You need to save the file as a .PRE file and use the File Translator to make it a .PRS file. To use the File Translator, copy the files from the \EXTRA\TRANS directory on the SmartSuite CD-ROM to your hard drive. Additional information on the File Translator is available in the TRANS.TXT file in the same directory. ============================================================= 2. FILES FOR USING cc:MAIL RELEASES 6.x AND 8.1 WITH TEAMMAIL ============================================================= If you want to use TeamMail with cc:Mail Release 6.x or 8.1, you need to copy some files to your hard disk and possibly perform some additional steps. Section A below describes the procedure to follow if cc:Mail is the ONLY mail application installed; refer to Section B if you have both Lotus Notes AND cc:Mail installed. A. If cc:Mail Is the ONLY Mail Application Installed ---------------------------------------------------- If cc:Mail is the ONLY mail application installed, you must copy additional VIM files to the hard disk for TeamMail to work properly. Once you copy these files, no other steps are required. To copy the VIM files --------------------- * If you want to use cc:Mail Release 6.x or 8.1 with Freelance Graphics, copy the VIM16 files from the \EXTRA\CCMAIL\VIM16 directory on the SmartSuite CD-ROM to your cc:Mail main directory. The \EXTRA\CCMAIL\VIM16 directory contains the following files: VIM.DLL MAILENG.DLL VMEFNO16.DLL MEN800.DLL MEMMAN.DLL CHARSET.DLL * If you want to use cc:Mail Release 6.x or 8.1 with 1-2-3, Approach, Organizer, and Word Pro, copy the VIM32 files from the \EXTRA\CCMAIL\VIM32 directory on the SmartSuite CD-ROM to your cc:Mail main directory. The \EXTRA\CCMAIL\VIM32 directory contains the following files: VIM32.DLL VMEFNO32.DLL MEDB6O32.DLL MEO800.DLL CDFO800.DLL CFO800.DLL CIO800.DLL CDMO800.DLL CMO800.DLL NOTE: If you are using cc:Mail Release 6.x or 8.1 and you want to use TeamMail with ALL the SmartSuite products (including Freelance Graphics), copy both the VIM16 and VIM32 files to the cc:Mail main directory. If you attempt to use TeamMail with a SmartSuite product other than Freelance Graphics and have NOT copied the VIM32 files, an application crash may occur in the SmartSuite product. For information on using TeamMail, refer to the online Help in any SmartSuite product. B. If You Have BOTH Lotus Notes and cc:Mail Installed ----------------------------------------------------- If you have BOTH Lotus Notes and cc:Mail installed on your system, and you want to use cc:Mail as your mail client, you must copy the VIM files as well as perform some additional steps. BEFORE copying the VIM files, you need to edit your OS2.INI and CONFIG.SYS files. To edit the OS2.INI file ------------------------ 1. Copy the file EDITINI.EXE from the \EXTRA\CCMAIL\ directory on the SmartSuite CD-ROM to a directory on the hard drive where OS/2 Warp is installed. 2. Open an OS/2 window and at the prompt, type: EDITINI.EXE and press ENTER. 3. Under Profile, select: OS2.INI. 4. Under Application name, select: Notes. 5. Under Key name, select: Release. 6. Under Test, enter a whole value less than 3. 7. Click Add/Change to save your changes. To edit the CONFIG.SYS file --------------------------- 1. Open the CONFIG.SYS file on the OS/2 boot drive using the OS/2 System Editor. For example, type: E CONFIG.SYS 2. Make sure that cc:Mail references in the LIBPATH, PATH, and DPATH statements come BEFORE any references to Lotus Notes. 3. Close and save any changes made in the CONFIG.SYS file. 4. Shutdown and restart the system. After editing the OS2.INI and CONFIG.SYS files, you must copy additional VIM files to the hard disk for TeamMail to work properly. To copy the VIM files --------------------- * If you want to use both cc:Mail Release 6.x or 8.1 and Notes with Freelance Graphics, copy the VIM16 files from the \EXTRA\CCMAIL\VIM16 directory on the SmartSuite CD-ROM to your cc:Mail main directory. The \EXTRA\CCMAIL\VIM16 directory contains the following files: VIM.DLL MAILENG.DLL VMEFNO16.DLL MEN800.DLL MEMMAN.DLL CHARSET.DLL * If you want to use cc:Mail Release 6.x or 8.1 and Notes with 1-2-3, Approach, Organizer, and Word Pro, copy the VIM32 files from the \EXTRA\CCMAIL\VIM32 directory on the SmartSuite CD-ROM to your cc:Mail main directory. The \EXTRA\CCMAIL\VIM32 directory contains the following files: VIM32.DLL VMEFNO32.DLL MEDB6O32.DLL MEO800.DLL CDFO800.DLL CFO800.DLL CIO800.DLL CDMO800.DLL CMO800.DLL NOTE: If you are using cc:Mail Release 6.x or 8.1 and Notes, and you want to use TeamMail with ALL the SmartSuite products (including Freelance Graphics), copy both the VIM16 and VIM32 files to the cc:Mail main directory. If you attempt to use TeamMail with a SmartSuite product other than Freelance Graphics and have NOT copied the VIM32 files, an application crash may occur in the SmartSuite product. For information on using TeamMail, refer to the online Help in any SmartSuite product. ================================== 3. WORD PRO BATCH CONVERSION FILES ================================== Many enhancements have been added to Word Pro for OS/2 Warp 4, but to fully take advantage of these enhancements, you must convert your existing files to the new file format. For your convenience, Lotus provides two batch conversion files which convert Ami Pro and/or Word Pro 96 files to the Word Pro for OS/2 Warp 4 format. To install the batch conversion files, copy the files from the \EXTRA\WORDPRO\CONVERT directory on the SmartSuite CD-ROM to a directory on the hard drive that contains the files you want to convert. The WP96TOW4.CMD file converts all the Word Pro files in a given directory to Word Pro for OS/2 Warp 4 format and overwrites the existing files. Feel free to alter this file, or use it as a guide for making your own batch files to ease the conversion process. Note that you may CALL this file from other CMD files to convert many directories at once. The AMIPTOW4.CMD file converts all Ami Pro files in a given directory to Word Pro for OS/2 Warp 4 format and overwrites the existing files. Alternatively, you can simply open the file in Word Pro and save the file again. You may see a message in the status bar indicating "Checking Document Consistency." This simply means Word Pro has detected a file created with a previous version of Word Pro, and is attempting to optimize the file for use with Word Pro for OS/2 Warp 4. You can also use command line options to convert an individual file, or to build your own batch files. You must specify the Word Pro file you want to open and where to save the converted version of the file. By default, Word Pro saves in Word Pro for OS/2 Warp 4 format and does not overwrite an existing file. You may optionally indicate to save in Word Pro 96 format and to overwrite an existing file. Syntax: wordpro /f="d:\path\filename" /k[96][o]="d:\path\filename" Where: /f="d:\path\filename" indicates the file to open /k[96][o]="d:\path\filename" indicates the file to save as if present, 96 indicates save in Word Pro 96 format if present, o indicates overwrite an existing file NOTES: * Because '-' is valid in long file names, you must use '/' as the switch character. * Case is not significant for the options ('f', 'k', 'o'). * While it is possible to specify multiple files to open via the '/f' option, only one '/k' option and file may be specified, and it applies to the first file specified via '/f'. * If no path is specified for the files, Word Pro assumes the files are in your documents directory (as specified in user setup). * The default setting in Word Pro for OS/2 Warp 4 is to disable small file format. So if you resave to WP96 format, your files may get larger if they were previously saved with small file format enabled. * You must use the '=' sign after the option (f, k, and o). You must use quotations marks around the filename. This is different than the command line format for the Windows 95 version. =========================================== 4. ALTERNATIVE HELP FILES WITH LARGER FONTS =========================================== If your computer is set to a high video resolution such as 1024 x 768, 1280 x 1024, or 1600 x 1200, the font used in the Help files may be difficult to read. As a convenience, Lotus provides alternative Help files which use larger fonts. You can install the alternative Help files from the \EXTRA\ALT_HELP directory on the SmartSuite CD-ROM. The \EXTRA\ALT_HELP directory contains the following self-extracting ZIP files: 123_HLP.EXE 1-2-3 Help files APP_HLP.EXE Approach Help files FLG_HLP.EXE Freelance Help files ORG_HLP.EXE Organizer Help files WP_HLP.EXE Word Pro Help files SC_HLP.EXE Shared component Help files DFSC_HLP.EXE Default shared component Help files To install the alternative Help files: -------------------------------------- 1. Close all SmartSuite for OS/2 Warp 4 applications. 2. Copy the EXE files for the desired Help files to the appropriate application directories. For example, copy the 123_HLP.EXE to the directory where you installed 1-2-3 (such as \LOTUSW4\123), and repeat the process for each application's Help files. 3. Copy the SC_HLP.EXE file to the \LOTUSW4\COMPNENT directory. 4. In an OS/2 window, change to the application directory. Note: You may want to copy the existing .HLP files to a backup directory before proceeding with step 5. 5. Type the name of the EXE file and press ENTER to unpack the Help files. 6. At every prompt asking if you want to replace a current .HLP file, type: y and press ENTER. 7. Repeat steps 4, 5, and 6 for each application you've installed. 7. Change to the LOTUSW4\COMPNENT directory. 8. Type: sc_hlp and press ENTER. 9. At every prompt asking if you want to replace a current .HLP file, type: y and press ENTER. 10. Start the application. If you decide you want to restore the original Help files that ship with the SmartSuite, you must: * reinstall the application Help files using the SmartSuite Install program * restore the shared component Help files from the \EXTRA\ALT_HELP directory on the SmartSuite CD-ROM To reinstall the default application help files: ------------------------------------------------ 1. Insert the Lotus SmartSuite for OS/2 Warp 4 CD-ROM in the CD-ROM drive. 2. Open an OS/2 window. 3. Type X:\install (where X is the letter of the CD-ROM drive) and press ENTER. 4. Select all the applications in the Select Lotus SmartSuite Applications dialog box and then click Next. 5. Select "Custom Install" in the Type of Install dialog box and then click Next. 6. Select an application in the Select SmartSuite Applications to Customize dialog box and then click Customize. 7. Select "Help Files" in the Custom Install dialog box. NOTE: The Custom Install options are displayed on several tabbed panels. Select any other options you want to install. 8. Click OK to return to the Select SmartSuite Applications to Customize dialog box. 9. Repeat Steps 6, 7, and 8 for each application. 10. Follow the instructions on the screen to complete the installation. To restore the default shared component help files: --------------------------------------------------- 1. Copy the DFSC_HLP.EXE file from the \EXTRA\ALT_HELP directory on the SmartSuite CD-ROM to the LOTUSW4\COMPNENT directory on the hard drive. 2. Open an OS/2 window and change to the LOTUSW4\COMPNENT directory. 3. Type: dfsc_hlp and press ENTER. 4. At every prompt asking if you want to replace a current .HLP file, type: y and press ENTER. =============================== 5. INTERNATIONAL PROOFING TOOLS =============================== Word Pro provides proofing tools for supported international languages. These files are located in the \EXTRA directory on the SmartSuite CD-ROM. You can install these proofing files by copying them from the CD-ROM to the appropriate directory. When you install the proofing files, they are used automatically when the corresponding international language is used to enter text. Dictionary Hyphenation ---------------------- These files are located in the \EXTRA\WORDPRO\HYPHEN directory on the SmartSuite CD-ROM. To use international dictionary hyphenation, copy the desired file (listed below) to the main Word Pro directory (usually X:\LOTUSW4\WORDPRO). To install dictionary hyphenation for Copy this file --------------------- -------------- Brazilian Portuguese LOTUSPT2.HYP Catalan LOTUSCT2.HYP Czech LOTUSCZ2.HYP Danish LOTUSDK2.HYP Dutch LOTUSNL2.HYP English LOTUSEN2.HYP English Medical LOTUSME2.HYP Finnish LOTUSFI2.HYP French LOTUSFR2.HYP German LOTUSDE2.HYP Italian LOTUSIT2.HYP Norwegian LOTUSNO2.HYP Russian LOTUSRU2.HYP Spanish LOTUSES2.HYP Swedish LOTUSSE2.HYP Grammar Checkers ---------------- If you are using an international language to enter text and would like the Grammar Checker suggestions, rules, and dialog boxes to appear in that international language, you can install an international language Grammar Checker. NOTE: Readability statistics, displayed after you run Grammar Checker, are only available in English. These files are located in the \EXTRA\WORDPRO\GRAMMAR directory on the SmartSuite CD-ROM. To use an international Grammar Checker, copy the desired file (listed below) to the main Word Pro directory (usually X:\LOTUSW4\WORDPRO). To install a Grammar Checker for Copy this file ------------------- -------------- Brazilian Portuguese LOTUSPT3.IPR Dutch LOTUSNL3.IPR French LOTUSFR3.IPR German LOTUSDE3.IPR Italian LOTUSIT3.IPR Spanish LOTUSES3.IPR Swedish LOTUSSE3.IPR English LOTUSEN3.GCS In addition to copying one of the above files, you must also copy an associated *.DLL file, also found in the same directory on the SmartSuite CD-ROM. * If you copied a non-English language *.IPR file, copy the LTIPRO02.DLL file to the main Word Pro directory (usually X:\LOTUSW4\WORDPRO). * If you copied the English language file, LOTUSEN3.GCS, then also copy the LTGCSO03.DLL file to the main Word Pro directory (usually X:\LOTUSW4\WORDPRO). After copying the Grammar Checker files, you can check the grammar in those portions of your document that are typed in that language. Spelling Dictionaries --------------------- These files are located in the \EXTRA\COMPNENT\SPELL directory on the SmartSuite CD-ROM. To use an international spelling dictionary, copy the desired file (listed below) to the Lotus shared spelling directory (usually X:\LOTUSW4\COMPNENT\SPELL). To use an international thesaurus, copy the desired file (listed below) to the main Word Pro directory (usually X:\LOTUSW4\WORDPRO). PRE-REFORM GERMAN LANGUAGE FILES FOR SPELL CHECK AND GRAMMAR CHECK ======================================================= NOTE: This information is only applicable for customers using the German language version of SmartSuite for OS/2 Warp 4. SmartSuite automatically installs the language tools required to support the German Reform spelling and grammar changes. If you want to use the Pre-Reform German language files to spell and grammar check your documents, you must copy some files from the \EXTRA\INTL directory on the SmartSuite CD-ROM to your hard disk. These files replace the existing files that support the German Reform changes. NOTE: Lotus recommends that you back up the existing files on your hard disk before copying the files from the CD-ROM. 1. Close all SmartSuite products. 2. Copy the following files from the \EXTRA\INTL\SPELL directory on the SmartSuite CD-ROM to the \LOTUSW4\COMPNENT\SPELL directory on the hard drive. \EXTRA\INTL\SPELL\LTSPLO04.DLL \EXTRA\INTL\SPELL\LOTUSDE2.DIC 3. Copy the following files from the \EXTRA\INTL\GRAMMAR directory on the SmartSuite CD-ROM to the \LOTUSW4\WORDPRO directory on the hard drive. \EXTRA\INTL\GRAMMAR\LTIPRO02.DLL \EXTRA\INTL\GRAMMAR\LOTUSDE3.IPR \EXTRA\INTL\GRAMMAR\LOTUSDE2.HYP =================================== 7. DATA VALIDATION ADD-IN FOR 1-2-3 =================================== The 1-2-3 Data Validation Add-in lets you set criteria to restrict the type of data that users can enter in a cell or range of cells. You can also make 1-2-3 display an input message when the user selects a cell, and display an error message when the user tries to enter invalid data in a cell. Complete information is located in the \EXTRA\123\DATAVAL directory. * DATAVAL.12A add-in file * DATAVAL.TXT documentation text file =========================== 8. SAMPLE SCRIPTS FOR 1-2-3 =========================== The sample Scripts in the SCRIPTS.123 file are designed to provide useful functionality while at the same time, offer examples of how LotusScript can help to automate your work and increase the product's customizability. Some of the sample scripts include: * File convert * Auto save * Convert labels to values * Auditor * Save current view / open view * Create delimited text file * Modify contents of range The SCRIPTS.123 file is located in the \EXTRA\123\SCRIPTS directory on the SmartSuite CD-ROM. The SCRIPTS.TXT file, located in the same directory, contains installation instructions. ==================================== 9. ADDITIONAL MAP OUTLINES FOR 1-2-3 ==================================== Additional map outlines for 1-2-3 are provided in the \EXTRA\123\MAPS directory on the SmartSuite CD-ROM. README FILE FOR SMARTSUITE RELEASE 1.5 ========================================== Important information about prior releases of SmartSuite for OS/2 is contained in the SUITE15.TXT file located in the EXTRA\README directory on the SmartSuite CD.
